Minutes of Hall AGM on Wednesday, May 19th at 7.30
The AGM of the Llandyssil Community Charitable Trust and Hall Management Committee Meeting was held on Wednesday, May 19th.
In his remarks, Chairman Andrew Lloyd, on behalf of the Trustees thanked everyone who had helped with fund raising, the Communtiy Council, and those who made generous donations. Last year’s Dragonfest, the Christmas Fair, Concert and coffee mornings and donations from Hall users raised around £6,000 for the Hall; a remarkable achievement for a small village. The hourly Hall hire rate has been raised to £7 an hour including VAT The old rate has been held for those who signed annual contracts – but their rates will rise when contracts are renewed in 2011.
Having undertaken the renovation work, the Trustees now have to comply with numerous requirements (* see above) and procedures as shown in the new Hall Hiring Agreement. As a result the Hall has now been granted a Premises Licence which means the Hall meets all the necessary standards for various activities to be undertaken.
Con Bayliss was of great support with regard to the Health and Safety aspects of the Hall and the Trustees recorded their thanks and best wishes to Lynne and his family. Richard Cossey has taken on the responsibility for Health and Safety. There is outstanding work. including the completion of the re-pointing, the replacement of the windows in the rear toilets and kitchen with double glazed units, the replacement of the retaining wall, some external painting and the opening up for storage of the second garage, which Ray Parks has very kindly returned to the Hall, and the replacement of garage doors. It was also agreed that the Hall had an echo and that further sound proofing was necessary. As a first step some heavy curtains may be installed and if that does not solve the problem professional advice will be sought. The next stage is to develop outline plans to complete the building works by replacing the garages with a small meeting room and better storage area. Such plans will enable the Trustees to identify a rough cost and a target to aim for in fundraising. There will be a meeting to discuss these plans when they are available. When agreed any works will require approval of the landlord and, as the Hall is in a conservation area, planning permission will need to be obtained. Adrian Hughes, Nigel Thomas and Gaynor Williams - were appointed as new Trustees. Andrew Lloyd will remain as Chairman for an additional year and Alan Jefferies will take over as Vice Chairman. Jane Hamer remains as Treasurer. Lee Waite and Tim Halford are Bookings Trustee and Secretary. Lee heads a Dragonfest Steering Group with Phil Jones.
Future Trustee and Management Committee Meetings will be held quarterly or as required. Dates will be put on notice boards and in the newsletter.
